The following is what you will need to use TeleFile for sales/use tax:

  • Eight-digit Sales Tax Account ID Number.
  • Nine-digit Federal Employer Identification Number or Social Security number, or your 10-digit Revenue ID. To verify your Entity Identification Number, contact the e-Business Center at 717-783-6277.
  • Tax period end date.
  • PA state gross sales, rentals and services.
  • PA net taxable sales, rentals and services.
  • The amount of use tax due.
  • E-911 fee, if applicable.
  • Any applicable credits - (Taxes Paid/Purchases Resold Credit or other).
  • Corresponding sales tax amounts for Philadelphia and/or Allegheny Counties, if applicable.

To make a payment using ACH Debit, you will need your banking information including bank routing number, account number and account type (checking or savings).

  • Bank Routing Number: The bank routing number for your checking account can be found in the bottom left corner of your check. You can also contact your financial institution for its routing number. Typically, the routing number consists of nine digits and uniquely identifies the financial institution associated with your check account. Routing numbers are assigned and managed by the American Banker's Association.
  • Account Number: Your checking account number can be found on your checks to the right of the nine-digit routing number. This number uniquely identifies your account with your financial institution.
  • Verify Security Requirements/Bank Account Information: The department strongly recommends that you contact your financial institution to authorize ACH Debit transactions, and to verify the bank account, and routing numbers required for electronic payments.

Without this number, your business will not be able to collect taxes, and runs the risk of receiving fines, or more serious legal consequences. An EIN number is not the same as a social security number (used only for individuals), although the two numbers are similar in their intended use.

What to do if you lose or misplace your EIN

Your EIN will stay the same until your business either closes or reorganizes and applies for a new sales tax number. If you happen to lose your EIN, you can find it by contacting your bank or credit union which keep EINs on file with business’ account information. If that doesn’t work, then you can contact the IRS, which can provide EINs to your business’ officials, as long as they are able to answer the questions from the original application correctly – this is done as a security measure.
